Checklists, tallys, activity logs (also called a running log), and videos, photos, and other media can be used to make and record observations about children. A real world example is that my work uses a secure childcare app to communicate with parents about their children's day. It's primary function is to keep parents feeling connected to their children, but it also lets us communicate things such as how much food a child eats at a given meal. The meal function helps us to see trends in the eating patterns of children for whom diet is a special concern for their health. It functions as an observation tool as well as a communication tool.

A checklist, running record, tally event, photos and videotaping are some of the many ways we can use to record an observation of a child in our care. Recording and documentation of data is an important part of any system. The primary purpose is to track the child's developmental process. It's essential that whatever system you use, that you maintain confidentiality so that any observation you capture will not be revealed to others besides the family or approved staff who also work with the child. You must not leave written materials lying around where others may read them; and do not discuss a child in front of other parents or children.
